**«Ajustes» → «Equipo»** (settings → team) holds the people who work in this workspace and the role each of them has. The role decides **what each person can do**; it does not decide which conversations they carry — that is a separate matter with its own page. Here we explain the roles, how someone new gets in, how their role changes and how they leave.

:::nota
The team is managed from a computer: on a phone this section does not appear.

## Who is who {#quien-es-quien}

Today there are four roles, from least to most. The app names them in Spanish:

- **«Agente»** (agent) — attends conversations. The role for whoever replies to contacts.
- **«Gestor»** (manager) — runs the day to day: campaigns, automations, contacts, consent and capture, on top of their own conversations.
- **«Administrador»** (administrator) — configures the workspace: the number, the rules, the team and the workspace's integrations. Never the account.
- **«Dueño»** (owner) — all of the above plus the account: whatever belongs to the business rather than to one workspace.

A role belongs to **each workspace**: the same person can be a Manager in one workspace and an Agent in another of the same business.

What each role includes, by area:

| Area | What it allows | Agent | Manager | Administrator | Owner |
|---|---|---|---|---|---|
| **«Conversaciones»** (conversations) | Reply, assign, tag and add notes. | Yes | Yes | Yes | Yes |
| **«Contactos»** (contacts) | View and edit the contact base. | — | Yes | Yes | Yes |
| **«Consentimiento»** (consent) | Marketing opt-ins and opt-outs, and **«Centinela»** (the consent-triage queue) alerts. | — | Yes | Yes | Yes |
| **«Campañas»** (campaigns) | Create and launch campaigns and waves. | — | Yes | Yes | Yes |
| **«Automatizaciones»** (automations) | Create and publish flows and rules. | — | Yes | Yes | Yes |
| **«Captación»** (capture) | Forms, buttons and keywords. | — | Yes | Yes | Yes |
| **«Equipo»** | Invite people with a role below their own. | — | Yes | Yes | Yes |
| **«Ajustes»** | WhatsApp number, roles, removals and safety levers. | — | — | Yes | Yes |
| **«Borrado de datos»** (data deletion) | Delete contacts permanently. | — | — | Yes | Yes |
| **«Cuenta»** (account) | Billing, business profile, workspaces and connections. | — | — | — | Yes |

It is the same list you see when you invite someone: under the role picker, Konverda marks which areas the chosen role includes and which it does not. We do not write it by hand: it comes from the same permission map the server uses to decide what each person may do, so what the invitation promises is what then holds.

One rule decides who appoints whom: **each role only appoints, changes or removes roles below its own**, and the Owner can do anything. Everything below follows from it.

## Inviting someone {#invitar}

In «Ajustes» → «Equipo», the **«Invitar a alguien»** (invite someone) line asks for three things: **«Email»**, **«Nombre (si es nuevo)»** (name, if new) and **«Rol»** (role). Press **«Invitar»** (invite) and the email goes out.

- **«Rol»** only offers the roles you can give: those below your own. An Owner sees all four; an Administrator, «Gestor» and «Agente»; a Manager, only «Agente».
- **«Nombre (si es nuevo)»** is only used if the person is new to Konverda. Someone who already uses Konverda in another workspace keeps their own name and photo, whatever you type.
- Under the role, Konverda shows the areas it includes (the table above) and reminds you what will happen: «Recibirá un correo con un enlace personal. Si ya usa Konverda en otro espacio, entrará con su contraseña de siempre y conserva su nombre y su foto» (they will receive an email with a personal link; if they already use Konverda in another workspace, they will sign in with their usual password and keep their name and photo).

Inviting does not change the role of someone already in the workspace: if the address already belongs to a member, Konverda says so and touches nothing. The role is changed from that person's menu ([further down](#cambiar-el-rol)).

When somebody other than an Owner invites, the people above them hear about it: if a Manager invites, the Administrators and Owners get an in-app notification saying who came in and with what role; if an Administrator invites, the Owners do. The team can grow without them, but never behind their back.

Each workspace has a ceiling of 30 invitations per hour, resends included. A real team never reaches it; it is there so nobody can turn invitations into a bulk-mail channel.

## What the invited person receives {#lo-que-recibe}

They get an invitation email with the workspace's name and an **«Aceptar invitación»** (accept invitation) button. The link is personal and expires in 7 days. What happens when they press it depends on whether they already use Konverda:

- **If they are new**, they choose their password and go in. That password gets them into every workspace they have access to.
- **If they already use Konverda** in another workspace, there is nothing to create: they sign in with their usual password and accept the invitation in the same step.

If they open the link in a browser where somebody else is signed in, Konverda leaves that session alone: it tells them which address the invitation is for and offers to sign out so they can accept it. And if the link has expired, has already been used or the invitation was withdrawn, they see **«Invitación no válida»** (invalid invitation) and need to ask for it to be sent again.

:::nota
Konverda never tells the person inviting which of the two emails went out: the answer is the same for a new address and for one that already uses Konverda. That way the invite form cannot be used to find out whether somebody has an account.
:::

## Pending invitations {#invitaciones-pendientes}

Until the person enters for the first time, they appear under **«Invitaciones pendientes»** (pending invitations) with the **«Pendiente»** (pending) tag and the date the email went out. Once they enter, they move to **«Miembros»** (members) the next time you come back to the tab, without reloading.

Their menu has two options:

- **«Reenviar invitación»** (resend invitation) — sends a new email with a new link. The previous one stops working: there is only ever one live link per invitation.
- **«Retirar invitación»** (withdraw invitation) — the person loses access to this workspace and, if they already got the email, their link stops working.

Konverda will not withdraw the invitation of the workspace's only Owner, nor that of someone who is the default responsible or already has conversations assigned: those have to go to somebody else first. Withdrawing is only for someone who never entered; someone who already works here is removed instead ([further down](#dar-de-baja)).

## Changing someone's role {#cambiar-el-rol}

The role is changed from the person's menu. The options come from the rule above:

- **«Hacer …»** (make …) moves someone up: **«Hacer gestor»**, **«Hacer administrador»**, **«Hacer dueño»**.
- **«Pasar a …»** (move to …) moves them down: **«Pasar a administrador»**, **«Pasar a gestor»**, **«Pasar a agente»**.

You only see the options you can give, and only on people whose current role is also one you can give. In practice:

| You are | You can move |
|---|---|
| Owner | Anyone, to any role, another Owner included. |
| Administrator | Managers and Agents, between those two roles. Not another Administrator, not an Owner. |
| Manager | Nobody. |

Nobody changes their own role. Before applying the change, Konverda shows what the person gains if they go up, or what they keep if they go down, and once it is confirmed they get a notification: «Ahora eres Administrador» (you are now an administrator), for instance.

## Owners {#duenos}

The Owner is the only role that reaches the account. Only an Owner can:

- open **«Cuenta»** and **«Plan y facturación»** (plan and billing) in «Ajustes»;
- appoint another Owner or an Administrator, when inviting or when changing a role;
- change the role of an Administrator or of another Owner, or remove them.

An Owner also sees every workspace of the business, not only the ones they belong to ([switching workspace](/en/docs/account-and-billing/workspaces#switching)).

There can be several Owners, and it is a good idea when more than one person answers for the business. What cannot happen is being left with none: **a workspace always keeps at least one Owner**. The last one cannot be moved to another role, removed, or have their invitation withdrawn.

Since nobody changes their own role, stepping down as Owner is another Owner's job: first you appoint whoever replaces you with «Hacer dueño», and then that person moves you to another role (Konverda titles that one **«Dejar de ser dueño»** — stop being owner).

## Who carries the conversations {#quien-lleva-las-conversaciones}

The role decides what each person can do; **which conversations they carry** is decided separately, with one responsible person per conversation and a memory of who attended each contact ([who handles each conversation](/en/docs/inbox/who-handles-each-conversation)). Two pieces of that live in «Equipo». The **«Responsable por defecto»** (default responsible) card, which Owners and Administrators see, chooses who receives the conversations of new contacts, and the row of whoever holds that seat carries the **«Por defecto»** (default) tag. Changing it moves nothing that is already open, which is why Konverda asks first with **«Cambiar el responsable por defecto»** (change the default responsible) ([what it does and does not do](/en/docs/inbox/who-handles-each-conversation#responsable-por-defecto)). And **«Transferir conversaciones»** (transfer conversations), in each person's menu, moves all of theirs to somebody else at once ([when to use it](/en/docs/inbox/who-handles-each-conversation#transferir-todo)).

## When somebody leaves {#dar-de-baja}

When somebody leaves the team, you remove them from their menu with **«Dar de baja»** (remove). Administrators can do it (to Managers and Agents) and so can Owners (to anyone except the last Owner). Nobody removes themselves.

It is a single step, on purpose:

1. Konverda shows you everything that person still holds: their conversations, the capture points and the campaign and automation rosters they sit on, and the default-responsible seat if it is theirs.
2. It asks **once** who takes all of it over (**«Transferir a…»** — transfer to). Until you choose somebody, the button stays disabled.
3. When you confirm (**«Transferir y dar de baja»** — transfer and remove), everything goes to that person and the removal is applied at the same moment.

If they hold nothing, there is nothing to choose: the button simply says «Dar de baja».

What happens next:

- **They lose access to this workspace immediately.** If they work in other workspaces of the business, they stay there.
- **Their history keeps their name**: their messages, their notes and their files. A removal erases nobody from the past.
- **Their conversations go to the person you chose, and so does those contacts' memory**: from now on they come back to the new person.
- **On rosters**, the person you chose takes their place. If that person was already on the same roster, they keep their own share and the departing one's share goes, so the percentages are not skewed.
- They disappear from the team and from the pickers: nothing can be assigned to them any more.

For contacts who "remembered" them without an open conversation of theirs, see [when somebody leaves the team](/en/docs/inbox/who-handles-each-conversation#alguien-se-va).

If the person never entered, they are not removed: [withdraw their invitation](#invitaciones-pendientes) instead.

### If they come back {#si-vuelve}

If you later invite the same address again, they return to the workspace with the role of the new invitation and with their history intact. What was transferred when they were removed does not come back: it stays with whoever received it. They show as pending until they enter, like any invitation.

## What a Manager can do here {#gestor}

A Manager opens «Ajustes» and finds a single section: «Equipo». There they can:

- see the whole team and the pending invitations;
- invite Agents;
- resend and withdraw pending invitations.

They cannot change roles, choose the default responsible, remove anyone or move another person's conversations in one go: that belongs to Administrators and Owners. Every time a Manager invites someone, the Administrators and Owners get a notification.

An Agent has no «Ajustes»: their work is in the conversations.
